Maxcare won’t cover fleet use, I’d be more concerned about that than keeping track of oil changes. Receipts would only help in the event of a dispute. Say they found sludge, they’d assume the oil wasn’t changed; a receipt for the oil change would solve that. DIY may not, but sometimes it’s a case by case kind of deal.
